DESKRIPSI PEKERJAAN
Secretarial & Administration
To provide comprehensive secretarial support to the CFO
To prepare presentations for use at internal/ external meetings and presentations
To compile strategic reports and various reports as required and understand how to use information systems
To develop clear understanding and utilization of administrative best practices to ensure the highest quality service delivery
To handle CFO’s travel itinerates, ensuring that travel arrangements and concurrence are made on time and within policy
To manage internal office and external warehouse document filing
To manage and facilitate preparation of meeting agenda, minutes, presentation and follow up actions with key stakeholders
To produce correspondence and reports using appropriate software and tools
To establish and maintain files and records.
To assist the CFO to follow up upon outstanding matters according to deadline given to team/ vendors on projects
Customer Focus
To handle and resolve any issues and or complaint cases raised by operations/external customers effectively and consistently with the highest standard of courtesy, bringing to attention of appropriate persons
To be fully conversant with all company policy and procedures as they relate to the department and key job functions
To take time to turn every complaint into an opportunity to exceed the customers’ expectations
To respond to and handle both internal and external customers in an efficient and polite manner
To handle confidential information with utmost discretion
To proactively work with team building initiatives
To organize orientation for new comers to business unit
Communication
To be in touch with the status of all current issues within the department and to report and flag critical issues and events that require immediate action
To communicate all meeting arrangements to appropriate persons
Take initiative to highlight any matters of urgency, and communicate this at the earliest possible opportunity
To respond to both internal and external customers in an efficient and polite manner
