Petty Cash Management: Handle petty cash funds, including disbursement, recording, and reconciliation. Ensure transactions are documented and funds are used efficiently.
Office Supplies Management: Oversee the inventory of office supplies, place orders to replenish stock as needed, and ensure the timely distribution of supplies to all departments.
Travel Expenses Report Audit: Review and verify travel expense reports submitted by employees for accuracy and compliance with company policies. Process reimbursements in a timely manner.
Package Delivery Management: Coordinate the receipt and dispatch of packages. Ensure accurate tracking and timely delivery of all incoming and outgoing parcels.
Name Card Production: Manage the design, ordering, and distribution of business cards for employees as per company standards and employee specifications.
Expatriate Permit Extension: Assist with the administrative processes related to the extension of expatriate work and residence permits, liaising with relevant government bodies and ensuring compliance with local immigration laws.
Vendor Relations: Maintain relationships with vendors and service providers, ensuring that the organization receives high-quality services and goods at competitive prices.
Administrative Support: Provide general administrative support including filing, scheduling, and supporting internal events or meetings as required.
Compliance and Documentation: Ensure all activities comply with legal, regulatory, and company policy requirements. Maintain accurate and organized records for all transactions and processes.
REQUIREMENT
A Bachelor's degree from any major
Min 2 years experience in related field
Proven experience in an administrative role, preferably with exposure to general affairs and petty cash management.
Strong organizational and planning skills, with the ability to prioritize tasks effectively.
Excellent attention to detail and problem-solving skills.
Good communication and interpersonal skills, with the ability to interact with employees at all levels.
Proficiency in office software (e.g., MS Office) and familiarity with administrative systems.
Knowledge of local regulations regarding expatriate permits is highly desirable.
Efficient time management and the ability to handle multiple tasks simultaneously.
Strong negotiation skills for vendor management.
Adaptability to changing priorities and office needs.
Initiative and independence in carrying out responsibilities.
