DESKRIPSI PEKERJAAN
Provide secretarial and administrative support to Executive including daily schedules, business appointments, business correspondences, travel arrangement, expenses claim etc.
Assist in the preparation of business reports, data analysis and presentations for meeting
Closely liaise and coordinate with internal and external parties to organize business meetings
Maintain filing system and confidential information in a professional manner
Act as the focal point for travelers on scheduling meetings and coordinating travel arrangements, such as itinerary, flights, hotel, and ground transportation, visa application
Support Corporate Communications in organizing company events, volunteer works and staff activities
Act as communication channel between internal departments, business partners and overseas counterparts to ensure smooth and effective operation in office
Handle ad-hoc projects and special assignments
Assist in accounting administration e.g. preparing cheque, issuing cheque and filing
Responsible for office administrative duties including meeting room set up, prepare correspondences, IT backup and control the office expenses etc.
Be stationed at the receptionist desk to answer the door, greet visitors and guests in a courteous and helpful manner at all times.
Provide backup support for receptionist including call screening, mail sorting & distributing, courier services, stationery & pantry replenishment and housekeeping etc.
REQUIREMENT
5-8 years related experience on administration and/or secretary duties for Executive team member in Hong Kong, China and US. Previous experience in working in Multinational Company and professional service environment is a definite an asset.
Proficient in English and Cantonese is essential, knowledge in Putonghua is preferable.
Superior organizational skills, with a disciplined approach to all tasks assigned. Attention to detail-orientated, able to work independently and respond quickly to changing priorities. Team player and with passion in helping others when necessary to meet deadlines.
Excellent communication and interpersonal skills. Able to adapt fast pace work environment and dedicated to work with cross functional/location team members.
