Executive Scheduling & Coordination
Manage complex calendars, coordinate internal and external meetings, and ensure optimal use of the executive’s time.
Act as the primary gatekeeper for the President Director’s schedule, ensuring priorities are met.
Meeting Preparation & Note Taking
Attend key meetings, take accurate notes, prepare concise meeting summaries, and follow up on action items.
Prepare materials and talking points for speaking engagements, both domestic and international.
Presentation & Content Support
Prepare presentation decks and supporting materials for internal and external audiences, ensuring clarity, accuracy, and alignment with Visinema’s brand tone.
Develop content such as contract skeletons, resource decks, and discussion outlines from briefing notes.
Administrative & Finance-Related Support
Manage document filing, travel expense reimbursements, invoice submissions, and other finance-related coordination.
Maintain confidentiality and discretion when handling sensitive company and executive information.
Travel & Event Arrangements
Coordinate detailed travel plans, including flights, hotels, itinerary planning, visas, and related documents.
Organize logistics for internal management meetings, partner engagements, and business trips (domestic & international).
Represent the President Director at events such as festivals, film awards, and corporate gatherings when needed.
Stakeholder Communication & Follow-Up
Liaise with internal teams and external partners to ensure smooth communication.
Follow up on meeting outcomes with relevant stakeholders and monitor project portals for updates and document access.
REQUIREMENT
Minimum Bachelor’s degree in any major.
Minimum 3 years of experience as an Executive Assistant, Personal Assistant, or in a similar role supporting C-Level or President Director.
Preferably with experience in a multinational company, corporate environment, or high-level organization.
Experience in creative industries (media, production, entertainment) is an advantage.
Fluent in English and Bahasa Indonesia (verbal & written) with professional business communication skills.
Tech-savvy — proficient with scheduling tools, productivity software, Microsoft Office (especially PowerPoint, Outlook, Excel), Keynote, and Google Workspace (Docs, Sheets, Slides).
Strong presentation skills — able to prepare and deliver decks for government and private sector audiences, locally and internationally.
Strong coordination skills for managing multiple stakeholders and schedules.
Excellent time management, proactive in anticipating needs, and attention to detail in producing well-structured outputs.
Ability to work independently, handle confidential information, and proactively solve problems.
Flexible with working hours and willing to travel occasionally for business support.
