DESKRIPSI PEKERJAAN

Support the Purchasing, Logistics, and accounting departments with the placement, tracking, delivery, and invoicing of purchase orders from multiple vendors in North America and Asia Handle basic bookkeeping tasks in the NetSuite ERP system Assist with inventory forecasting and ordering from suppliers Place purchase orders with factories and track them through delivery Assist with inbound logistics by sea and air from the factory to the port and to the warehouse File and retrieve corporate records, documents, and reports Use various software including word processing, Excel spreadsheets, databases, PowerPoint, and Adobe PDFs Read and comply with vendor manuals, submissions, and distribution instructions as needed Prepare carton and item labels Prepare distribution label mapping by item, by distro, and by PO Prepare item setups requested by retailers based on the database on each item Create vendor bills in the ERP system, ensuring the validation and matching of costs, payment terms, prepayments, and landed cost allocations Provide sales support with product details and create sales presentations in PowerPoint, Excel, and PDF form Answer emails and key communications Ensure that daily and ongoing executive administrative support is accomplished in a way that supports the business initiatives and objectives Apply the utmost discretion given exposure to sensitive company information Manage and update factory costs and quotes in a centralized spreadsheet by vendor, as well as in the NetSuite ERP system Perform other administrative duties as assigned
REQUIREMENT

2 years of experience as an executive assistant with purchasing and sales support functions, or other relevant administrative support experience In-depth understanding of the entire MS Office suite Detail-oriented, willing to check and double-check all work performed, and only submit accurate and current information to managers and vendor contacts Experience with accounting software, direct accounting experience preferred Must be able to meet deadlines in a fast-paced changing environment A proactive approach to problem-solving with strong decision-making skills Professional level verbal and written communication skills, including fluent and comprehensive English Knowledge of NetSuite is a plus but not required In-depth knowledge of Microsoft Office including Outlook, Excel, and PowerPoint is required Prior experience working the graveyard shift and willing to continue to do so
