Receive guests & courier services and handle general enquiries
Ensure daily mails and letters are attended promptly (sort and distribute)
Maintain an efficient filing system e.g. channel partners agreements, reference books, magazines etc.
Make flight e-bookings for staff.
Assist in liaising with suppliers, contractors, or vendors on office equipments, building services and building repair & maintenance like air-conditioners, telephone system, power supply, fire equipment, security, cleaners, office equipments (franking machine, auto insert & folding machine, typewriter, shredder, laminating machine, cutter, binding machine), stationery, gardening, e-waste disposal, paper/carton boxes, etc.
Maintain copies of the work order or service report for ISO audits.
E-File copies of invoices, service & maintenance agreements, etc for record
Keep record of daily postage, consolidate and submit to Singpost & Accounts Dept every month end
Update internal telephone extensions, handphone numbers, seating arrangements etc.
Prepare artwork for business card printing for fellow employees
Issuing, ordering and taking stock of office/printed stationery, toiletries, beverages for pantry, office furniture, office equipment, telecommunication & audio visual system, etc.
Issuing, ordering and taking stock of safety shoes and uniforms for technicians and dispatch rider
Supervise the contract cleaners and security guard.Ensuring the office building is clean and a healthy working environment for all.
Assist in ensuring that all safety standards, fire safety and risk management requirements comply with government preventive maintenance work.
Assist in attending to inspections and visits by statutory bodies e.g. SCDF, NEA, MOM Occupational Safety Officers, PUB, LEW, etc.
Provide other administrative support as and when required
REQUIREMENT
Manage door access system for the entire company
Issuance of door access card to new employees and update system
Record and collect fine from staff who did not bring their door access card (adhoc-Teban)
Taking reservation, Issuance and Collection of Zoo & Bird Park Entrance Card (ad hoc)
General Insurances (adhoc claims, renewal (once a year))
Assisting in the update of Job Descriptions (Teban Gardens)
Training coordination (Teban Gardens)
Verification of claims (medical, overtime etc)
