DESKRIPSI PEKERJAAN
Supervising all communications coming to the office, following-up with their responses, and saving them for reference.
Supervising the classification of incoming transactions, studies, reports, publications and invitations and categorizing them by type, source, importance and urgency.
Preparing administrative memos and getting their approvals.
Answering calls and forwarding them.
Welcoming visitors in a professional manner and directing them where necessary.
Organizing and reviewing meeting schedules and their approval, and informing the applicants of such.
Updating public and private phone numbers, mailing addresses, fax and e-mails of individuals and entities.
Securing the needs of all office supplies and their related.
Supervising sending post cards, letters and telegrams of congratulations or condolences depending on the event to work stakeholders.
Responsible for office administration activities including housekeeping, safety, security, employee induction etc.
Monitor, maintain, repair and replace office equipment, appliances, furniture, furnishings, stationery, etc. when required
Establish and organize Foundation Procurement database / Filing System / Procurement and Order Records.
Prepare, manage and follow enquiries, quotation and purchase orders.
Expedite assigned purchase orders to ensure all requirements in the purchase are accomplished.
Maintain the highest standard and professionalism and communication when conducting procurement transactions or when interacting with clients, suppliers and colleagues.
Taking care of the administrative requirements such as the office services.
To identify the required furniture and supplies in accordance with the approved specifications.
Upkeep of office administrative facilities and ensure availability of daily miscellaneous requirements to provide harmonious work culture to employees.
To provide the needs of the foundation including the materials, equipment and the services by the specified quantities and qualities and following up the maintenance process on time and with the best price.
Work as a member of the team, willingly providing back‐up support for co‐workers when appropriate and actively supporting group goals
Work in the respect of the Foundation Quality Management and ISO Requirements
