Manage the Global Head, ITSM Operations calendar with an understanding of business priorities
Develop working relationships with internal/external stakeholders and their assistants to facilitate scheduling process
Coordinate extensive traveling needs, arranging travel visas, interfacing with travel agent to arrange flight reservations and hotel bookings and ensure pre-approval are obtained where required
Prepare claims for reimbursements of business travel and expenses in compliance with policies. Act as the functions SME for understanding and ensuring we have governance around adherence to SCB T&E policies
Review invoices in preparation for payment and support office procurements as needed
Set up meetings, conference calls, booking of meeting rooms/video conferences, ad-hoc IT requests, scheduling onsite and all staff calls.
Assist in all team events with logistics, bookings and catering if required for internal events/meetings.
Maintain systematic filing system to enable quick retrieval of presentations, correspondences and contracts
Be the point of contact for the team when staff are travelling and visiting the Malaysia office, ensuring they have building access and work space
Handling of HR related matters, including the tracking of leave records and travel for the ITSM Operations Management Team (MT) and managing administrative tasks on SCB PeopleSoft
Effective communication – sending departmental updates, writing minutes and monitoring/following up on actions. Proficiency in Excel and PowerPoint to collate, reformat and spell check
Provide overall administrative support to the ITSM Operations MT as and when required.
Office management functions includes desk space management, floor space plans and ordering peripherals
Onboarding new starters: assisting with desk allocation, equipment and phone requirements
Act as a contact point for any business continuity activities (e.g. fire warden) and ensure contact lists are kept up to date and new tools are implemented effectively
Support all ad-hoc admin/projects across the department.

REQUIREMENT
Graduate degree or equivalent
Minimum 3 years’ experience
Intermediate MS Excel, MS PowerPoint, MS Word and MS Outlook
Ability to create clear & concise verbal & written comms to different audiences
Track record of completing tasks within tight deadlines & continuous improvement
Data analysis & reporting skills
