DESKRIPSI PEKERJAAN
Communication and General Administrative Duties – this includes answering telephones, call forwarding, reading, prioritizing and filing email/documents, and problem resolution. Managing documents needing signatures
Time Management and Calendar – manage schedules, anticipates obstacles and responds to constant changes. Assist EA/Office Manager in keeping track of project deadlines and deliverables
Expense Processing and Budget Preparation – management of expense accounts and processing thereof. Assist with budget preparation and transfer of date on monthly basis for monitoring
Travel Management - make efficient travel arrangements adhering to all corporate and budgetary guidelines. Responsible for the coordination of all travel requirements and arrangements of the staff. Defines requirements for passports and visas, and work with the appropriate officers/external parties for their completion. Administers all requests, approvals and funding requests for work-related travel Responsible for ensuring office financial objectives are met by planning the expenditure, analyzing variances and carrying out necessary corrections that may arise
Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored
Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems. Maintain office condition and arrange necessary repairs
Serves as the points person for; maintenance, mailing, shipping, supplies, equipment, bills and errands
Coordinate with IT department on all office equipment and oversee asset management
Create and maintain good relationships with key internal and external stakeholders. Provide general support to visitors
Manage relationship with vendors and service providers, ensuring that all items are invoiced and paid on time
Liaise with facility management vendors, including cleaning, catering and security services. Address employees’ queries regarding office management issues
Planning and execution of company events, in-house or off-site activities
Other duties may be assigned as the need arise
